ART TRACKERS™

Connecting art to people

The platform that closes the gap between artists, collectors, and institutions - by tracking the movement and history of every artwork, and keeping everyone connected to the art and each other.

THE PROBLEM

Most public art collections are still managed with spreadsheets.

When a staff member leaves, the records go with them. When an auditor asks for provenance documentation, the team spends weeks compiling it. When a community member asks about a public artwork, there's no way to tell them its story. Art Trackers was built to solve all three.

Inventory Tracking

Before Art Trackers

Artwork locations tracked in a shared Excel file. Last updated 2019. Three different versions saved on three different computers.

✓ With Art Trackers

Every artwork's current location, condition history, and provenance chain — searchable in seconds. Permanent, immutable, audit-ready from day one.

Audit Preparation

Before Art Trackers

Annual audit preparation takes three weeks. Staff compile records from emails, folders, and institutional memory. Still misses records from the 1990s.

✓ With Art Trackers

Complete audit export generated in one click. Provenance chain, condition history, location records, and ownership documentation — all in one formatted PDF.

Community Engagement

Before Art Trackers

A community member stands in front of a public mural and asks 'who made this?' There is no way to answer them without a brochure that is three years out of date.

✓ With Art Trackers

They tap their phone on the NFC tag. The artwork's full story appears instantly — title, artist biography, acquisition history, and managing institution. No app required.

HOW IT WORKS

From registration to community engagement — in two weeks.

Most agencies are fully live within two weeks of signing. That includes account setup, existing inventory import, staff training, and NFC tags delivered and affixed.

1

Register your collection

2 minutes per artwork · bulk import on day one

Your team adds artworks through the secure staff dashboard. Each artwork receives a permanent AT-ID — the art market's equivalent of a vehicle identification number. Existing spreadsheet inventories can be bulk-imported on day one. Every record is immutable, timestamped, and audit-ready from the moment it is created.

2

Tag your artworks with NFC

No IT involvement · no app to install

Pre-programmed NFC tags (from $4.50 each in bulk) are shipped to you ready to affix — no programming required. Each tag is cryptographically linked to its artwork's permanent record. Field staff verify location and condition by tapping any smartphone. Works with iPhone 7+ and any NFC-enabled Android device.

3

Manage, report, and engage

1-click compliance export · real community engagement data

Every registered artwork has a public page accessible to any community member by tapping the NFC tag. Your staff dashboard gives you condition monitoring, maintenance scheduling, and one-click compliance reports. Every NFC scan is logged as a community engagement event — real data for your grant applications and council presentations.

BUILT FOR GOVERNMENT

Procurement-ready. Audit-ready. Day one.

Art Trackers is designed from the ground up for government data requirements, procurement realities, and long-term operational accountability.

Agency data isolation

Row Level Security is enforced at the PostgreSQL database level — not the application layer. A Seattle staff member cannot see Denver's artworks. No application error can expose cross-agency data. Your collection is operationally protected.

Security architecture →

Immutable provenance records

Provenance records are append-only. A database-level trigger blocks any UPDATE or DELETE on ownership history, verification events, or audit logs. Once a record is written, it cannot be altered. Legal-grade chain of custody from day one.

Provenance infrastructure →

Pilot agreement available

Fixed-price milestone contracts. Payment is released only after each milestone is verified and accepted by your team — not for hours worked. A standard Letter of Intent template is available for agencies that need low-commitment initial approval.

Procurement information →

Your data always belongs to you

Full data export at any point — every artwork record, image, and provenance document as a structured package. 99.9% uptime SLA. Automated daily backups. No vendor lock-in. Art Trackers does not hold your data hostage.
