Welcome to Art Trackers
Everything you need to get your collection up and running — from signing in for the first time to registering your first artwork and connecting it to a permanent digital record.
1. Accept your invitation
Accounts for agencies and institutions are created by invitation. Once your organization is set up, an administrator invites you by email.
Open the invitation and sign up with the same email address. You'll land on your dashboard, already connected to your organization with the role you were given.
Signed up without an invitation? You won't see a dashboard until you've been added to an organization — ask your administrator, or contact us and we'll help. Artists register separately through Join As Artist and manage their work from the artist dashboard.
2. Set up your collection
Your Agency Profile holds your organization's inventory, locations, team and settings. Before adding artworks, add the places your art lives: open Agency Profile → Locations and select Add Location.
If you'd like to group artworks — by program, building or series — create named collections under Agency Profile → Collection → New Collection, and mark each one Public or Internal.
3. Register your first artwork
Open Artwork Inventory and select + Add Artwork (or use Add Artwork on your dashboard).
- Fill in Title, Medium, Year and Status.
- Choose the Artist — pick an existing artist or select Add new artist.
- Choose a Location, or add a new one on the spot.
- An image, an NFC tag and documents are optional; you can add them later.
New artworks are private. Switch on Publicly Visible when you're ready to share one, then select Save Artwork.
4. Assign an AT-ID
There's nothing to do: Art Trackers assigns an AT-ID the moment the artwork is saved and shows it in the confirmation.
AT-IDs look like AT-00000123. They are never reused and can't be edited in the app, so they're safe to print on labels, certificates and plaques.
