A tour of the tools you'll use every day, from the inventory list to provenance, condition reports and maps.

1. Artwork inventory

Artwork Inventory lists every artwork your organization looks after. Search by title, filter by status or location, and open any artwork to see its full record.

Each record is organized into tabs: Details, Images, Location, Condition, NFC Tags, Certificates, Provenance and Documents.

2. Provenance

The Provenance tab keeps the artwork's story: Ownership History, Conservation History and Provenance Notes, with a completeness score out of five.

Admins and managers can hand an artwork to another steward with Transfer Artwork. Select View Provenance Audit Report for a complete, printable summary.

3. Condition reports

On the Condition tab, select Add Report. The report walks through eight steps and saves a draft as you go, with room for up to 20 photos.

Inspection date, inspector, inspection location, overall rating and summary are required. Export PDF downloads the artwork's condition history.

4. Locations, movement and maps

The Location tab shows where the artwork is now and keeps a Movement Log of every move and loan — use Log Movement to record one and Mark Returned when a loan comes back.

Manage all your sites under Locations & Map. The Map tab on your Agency Profile plots your collection, and each artwork's Map Pin Visibility decides whether its pin shows the exact location, an approximate one, or nothing at all.

5. Certificates and documents

The Certificates tab creates a Certificate of Creation, a Certificate of Authenticity, a Paper Plaque and an Acrylic Smart Plaque, each as a ready-to-print PDF.

The Documents tab stores files for the artwork — PDF, DOCX, JPG or PNG, up to 50 MB each. Download All gives you everything in one ZIP.
