Import & export

Move an existing inventory into Art Trackers in one go, and take your records out whenever you need them.

1. Import artworks from a spreadsheet

Open Import in the sidebar and follow the four steps:

  • Download CSV Template and fill it in.
  • Upload it as CSV or XLSX — up to 500 rows and 10 MB.
  • Map your columns to Art Trackers fields.
  • Review the rows, then import them.

Title, artist name, year, medium, status and visibility are required. Artists and locations are matched by name and created if they don't exist yet. Images, tags and documents aren't imported — add them to each artwork afterwards.

2. Reports and exports

Reports & Compliance exports your Inventory Summary, Condition Report, NFC Analytics, Provenance Audit and Compliance Export as CSV or PDF, plus a Full Collection Audit as CSV.

Agency Profile → Reports builds Grant, Board and Collection Summary reports as PDF, and a Public Records Export and Maintenance Schedule as CSV. Everything you generate there is kept in Report history.

3. Exports from an artwork

From any artwork you can export its condition and movement histories as PDF, download its QR code as PNG, SVG or PDF, generate certificates and plaques, and download all of its documents as a ZIP.
